Office Administrator

Job purpose:

To carry out key administrative duties in the office, and effectively manage the relationship between GB Mail and its suppliers, Account Management Team and Production for the smooth passage of clients work through the business. Communicate, liaise, and negotiate internally and externally using appropriate methods to facilitate the development of the business and sustainable relationships.

Key responsibilities:

• Manage the Account Management team’s expectations proactively and professionally  ensuring high levels of customer service are maintained at all times
• Forecast jobs promptly and ensure all procedures are followed in the process.
• Provide accurate information to all departments, agreeing schedules and monitoring  job progress
• Ensure all internal procedures are followed at all times
• Establish requirements of the Account Management Team / Clients / Suppliers
• Provide timely & accurate information internally and externally to suppliers
• Ensure all supplier orders are raised with a purchase order and entered onto the system
• Ensure purchase orders are obtained for all projects in a timely manner
• Ensure that all aspects of client/internal SLA’s are achieved and report any issues to the Board of Directors immediately.
• Ensure all client invoicing is produced accurately and in time of agreed GB Mail and customer deadlines
• Identify risks to delivery and escalate to the Board of Directors.
• Ensure absolute accuracy of monthly stock take
• Attend and present at external customer meetings and internal meetings with other company functions necessary to perform duties and aid business development.
• Attend training and to develop relevant knowledge, techniques and skills.
• Confirm all disputes in writing and inform the Board of Directors
• Create an understanding of current and future business opportunities
• To ensure that continuous improvement through the use of best practice is a way of life
• Adhere to health and safety policy, and other requirements relating to care of equipment.

Job Type: Full-time Salary: £18,000.00 to £19,000.00 /year
